New rules for your entire workforce.

Starting this July, aged care providers face an important change: you will be responsible for checking the credentials of everyone who works with you. This includes your employees, volunteers, contractors, and agency staff. As a provider, you must:

• Make sure all workers have the right checks before they start

• Keep track of when these checks expire

• Check credentials regularly, not just once

Planning for future changes

The required checks are changing. Current Police Certificates and NDIS Worker Screening Checks will shift to:

• Aged Care Worker Screening Checks

• AHPRA registrations

You'll also need to check the Banning Order Register and monitor 'risk-assessed roles.'

Can your current system handle these changes?

If you already use digital tools to help you manage worker entry and credentials, you're

on the right track. Many providers, however, will need better systems to stay compliant without creating extra work.

The average staff-to-resident ratio in residential aged care across Australia is 1.5. A 100 bed facility can spend over 150 hours per year on compliance administration for internal staff members alone. This does not include credential checking for occasional 'workers' who are not client-facing or receiving wages, such as facility maintenance contractors or volunteers.

How technology makes compliance easier

A good entry management system becomes your compliance partner, automatically tracking worker credentials, denying entry to those who do not meet requirements, and giving staff timely information to manage compliance at the front door.

What your system should include

Simple identity verification: Facial recognition ensures the right person is signing in, preventing credential sharing.

Easy document storage: Keep digital copies of all credentials in one

secure place.

Automatic reminders:

• Alert workers when their credentials are about to expire

• Notify managers when credentials don't meet requirements

Clear reports:

• Create custom reports to monitor credentials

• Export information for random checks of contractors

• Show evidence of your compliance process during audits

Adaptable system:

• Adjust to new regulations as they change

• Connect with verification services

• Add new roles and requirements as needed

The right system turns compliance from a manual, resource-heavy burden into a smooth process that protects everyone while letting your team focus on providing great care.
